As secure as our platform is, breaches can still occur due to human error. But following a few basic protocols can help minimize that human error and keep your meetings—and your data—safe and secure. First, never share meeting IDs or passwords with anyone who’s not part of the meeting. Keep a close eye on who’s joining the meeting and don’t let anyone in who isn’t on the list of scheduled participants. Ask everyone to join early, so that by the time the meeting starts, everyone is present who’s supposed to be there, and you can lock the meeting to keep anyone else from joining.

A virtual meeting is a way of connecting with a group online, rather than face-to-face. It typically takes the form of a group video call, though it could be done as an audio conference instead. As long as they have a camera and/or microphone integrated or attached to their device, everyone has the ability not just to speak and be heard, but to share files, images, and more to illustrate their points, even across great distances.

First, make sure the scheduling is convenient for everyone. When conducting a meeting virtually, you may have participants across different time zones—even in different countries! Choose a time that’s convenient for all of them. Send out a brief overview of the meeting along with the invite, then send out a more detailed agenda, closer to the meeting date, so everyone can follow along and know what’s going on. During the meeting, allow feedback and discussion, but moderate it to make sure everyone gets their turn, no one talks too long, and no one is talking over each other. Keep the meeting on task and to the point, to ensure that all important business is dealt with in the allotted time, and you don’t keep people longer than necessary—especially those in other time zones.

Mute yourself when you’re not actively speaking. Make sure your camera is on, and your background works properly. You might also consider using the blur feature to maintain focus on you and what you have in the foreground.

Video calls can be recorded by the call moderator, by pressing the Start Record button at any point during the call. There will then be instructions for where to save the recording and how to access it once it’s completed. Remember to get all call participants’ permission before recording them, or at least inform them ahead of time.

Echoing can be caused by a number of issues. First, determine if the source of the echo is your own device, or someone else’s. If you hear your own voice reflected back at you, then it’s likely someone else. If others hear your voice as an echo, but you don’t, then it’s likely you. Check your microphone settings and try turning the volume down. If the problem persists, you might also try switching to a different microphone. And always be sure to mute yourself when you’re not talking.

First, keep the meetings smaller. Having only 5 or 6 people in the meeting will give everyone more of an opportunity to share than if you have 20 or 30. The increased intimacy of the setting may also help participants be less nervous and open up more. If it is a larger meeting, consider using breakout rooms to split them into smaller groups for discussion. Make sure everyone has their camera on, as well. You can also ask questions of each person individually, or go around the “room” and have everyone share something, just to get the ball rolling and help people to open up.
